Scheduling and Cancellation Guidelines for Appointments

At Children’s Treatment Centre of Chatham-Kent (CTC-CK), we recognize the significant role you play in your child’s progress. Attending appointments alongside your child, actively engaging in their learning, and providing essential support are paramount. In our collaborative efforts with specialists and other organizations, your consent is pivotal before any assessments or services are initiated.

Cancellation Policy:

For the well-being of your child, our clinicians, and other children at CTC-CK, please promptly cancel your child’s appointment if they or you experience any of the following:

  • Feeling unwell
  • Having a fever
  • Developing a rash or blisters
  • Having a runny nose or weepy eyes
  • Experiencing excessive coughing or sneezing
  • Dealing with diarrhea or vomiting
  • Having head lice

Rescheduling Initial Assessment Appointments:

If you cannot make your child’s initial assessment appointment, kindly inform us in advance. Failure to do so may require a new referral.

Missed Appointments:

Mistakes are understandable. If you miss an appointment, please contact us immediately. CTC-CK is committed to assisting children and families promptly. Your cooperation is crucial. Two missed appointments without notice may result in adjustments to your child’s service plan. Continued poor attendance may impact the services provided or lead to the closure of your child’s file.

Punctuality Matters:

Arriving on time ensures that you get the most out of your services. Please note that late arrivals will not extend the appointment end time.

Regular Communication:

Consistent communication is essential while your child receives services. Inability to reach you may result in the closure of your child’s file. To resume services, a new referral will be required.

Your Initial Appointment Experience at CTC-CK

We are excited to welcome you to the CTC-CK for your child’s first appointment. To ensure a safe environment, kindly use the provided hand sanitizer upon arrival. Please proceed to the reception desk to check in, where your child’s clinician will be alerted of your presence. In the event that your appointment is scheduled elsewhere, suitable arrangements will be made and communicated to you promptly.

During the assessment, one or more clinicians will evaluate your child’s abilities. Your presence during this process is crucial, as your unique insights about your child are incredibly valuable. Following the assessment, you will engage in a discussion with your child’s clinician(s) to review the assessment findings and collaboratively develop a plan of action. Subsequently, you will receive a detailed report outlining your child’s goals and the proposed service plan.

For the safety and well-being of all present, we kindly request that you supervise your child throughout your visit. Your active participation and cooperation are essential components of your child’s assessment and care journey.
